Job Summary:

The Associate Finance Manager is responsible for supporting the Finance function, Payroll function, and operations of the company. He/she performs various financial processes, including booking credit card charges and reconciling bank statements. The Associate Finance Manager reports to the Finance Director, works closely with other Finance Managers to process payroll in a timely and efficient manner, and oversees the Finance Interns. Success in this role will deliver a high level of customer service that emphasizes responsiveness and relevance, to all internal and external constituents. The Associate Finance Manager must conduct work in a manner that promotes accountability and efficiency. Overall, this role supports and is an extension of the Finance Director.

Primary Responsibilities/Activities:

  • Reviews, analyzes and approves timesheets submitted by Greenhouse Promotion Specialists (PSs) and managers; researches and reconciles discrepancies
  • Prepares paper records of event execution for payroll and billing purposes, following up with market managers if events are not closed in a timely manner
  • Prepares and sends out employee paychecks bi-weekly
  • Addresses employee inquiries
  • Bookkeeps outgoing checks
  • Processes final checks for terminations
  • Researches, analyzes and resolves difficulties or questions presented by co-workers and managers using knowledge of company system
  • Supports the Check Request process by reviewing and signing checks, maintaining records, and sending checks out for delivery on a weekly basis
  • Classifies corporate credit card charges monthly according to employee role and type of spend
  • Reconciles month-end bank statements
  • Monitors and manages aspects of Accounts Receivable and Accounts Payable
  • Creates and manages invoices sent to clients
  • Assists Finance Director with managing individual employee budgets and program budgets
  • Updates annual Profit and Loss report with monthly figures to track financial trends
  • Trains and manages Finance interns
  • Identifies, researches, and submits paperwork required at state and local level for tax purposes, business licenses and/or corporate registration
  • Maintains accurate data in the employee payroll system and records
  • Deposits checks from clients daily
  • Reviews Meetings & Events division’s administrative tasks, such as verifying corporate charges, submitting program estimates and invoice requests, and closing out completed programs
  • Supports Finance Director with ad hoc requests

 

Minimum Requirements:

  • Bachelor’s degree in Accounting, Finance or related field
  • 1-2 years of Finance and/or Payroll experience
  • Strong knowledge in Microsoft Excel with an understanding of how to create Pivot Tables, formulas, and manage budgets
  • Proficient in QuickBooks
  • Proficient in Microsoft Word, and Microsoft PowerPoint
  • Self-starter with strong interpersonal skills
  • Ability to work independently and in a team setting
  • Attention to detail and accuracy
  • Strong organizational, analytical and communication skills
  • Flexible and focused in pressure situations, especially meeting strict deadlines

Position Financials (Annual):

Base Salary: $ 40,000 – $ 50,000
